Now, let’s investigate how we can access the reports as per the user role in the Acumatica platform. First, log in to the Cloud ERP website under the role of the Sales Manager or Customer Service Representative. Given the access configuration, you will be able to see the various types of dashboards under these user roles. Next, open the Sales Manager dashboard. 

You can quickly see links to Average Sales Orders, Average Deal Size, Profitability, and more on the dashboard. Note that the visual graphic charts are beneficial here to neatly visualize the business pulse and trends in sales. Also, you can view other components such as Customer Growth, Sales vs. Quotes, etc.

Some of the important parameters include:

  1. Report Format – This determines whether you can run the report in a detailed or summary format.
  2. Company/Branch – If you’re operating in a multi-division company, you can use this filter to see the report specifically for a division.
  3. Date – Mention the start and end date for the period which corresponds to the report you would like to generate.
  4. Document type – You can choose to run the report for Invoice, Debit Memo, Credit Memo, Cash Sale, or Cash Return.
  5. Customer – Use this to filter out specific customers if you want to get specific customer insights.
  6. Inventory – There are 2 options here; you could choose a report with Released Transactions only or Completed Transactions only.

With these specifications, you can understand the profitability, profit margin, costs, and other cash flow that has occurred for different orders. Once you’ve selected the required filters, you can click on ‘Run Report’ and you will get the relevant order details. You can also find overall Sales numbers and profits. On a side note, remember that this type of report is useful only in the case of companies that have data stored for daily profitability.

To generate this, go to the Reports section again. Choose the Sales Profitability Report by Salesperson & Customer option. Most businesses prefer this type of report due to its unique features. Choose the required filters, then click ‘Run Report’ and there you have the detailed report sorted by Salesperson This report gives a better overview of understanding some of the below points that can boost CRM effectively:

  • How much was sold to a specific customer?
  • How much support does a specific salesperson require to continue selling to other customers while keeping the profitability rates up?

Sales Order Summary Report

This is equivalent to the analysis report called the Daily Sales Booking Report which many companies use to understand their daily sales goals. The idea of any ERP implementation is to reduce the daily outstanding sales essentially. This helps to turn over those sales orders faster, generating the invoices and collecting the cash.

This report is also useful to see how many open orders you have. Analyzing these reports month after month will throw light on any order not getting closed out consecutively. Further, you can investigate the underlying reasons for such scenarios and address them.

The filters used here are the same as the above-mentioned reports. Additionally, you also have a checkbox for Open Orders Only. This is a unique filter that will show only the outstanding sales orders. Hence, you can ponder further into the reasons as to why it’s not closed yet.

When you click on ‘Run Report’, you’ll get a report that will include orders with various statuses such as ‘Shipping’, ‘Back Order’, etc. If the Status of an order has been open for longer than the expected time, then you can look concerns behind it. Factors such as logistics challenges, lack of coordination among the various teams, and order fulfillment can be analyzed to understand where your business is failing to meet customer expectations.
